Job Summary

The administrative assistant supports the accounting department by performing general accounting and administrative tasks under the guidance of the Accounts Officer.

Responsibilities

  • Answer phones, respond to emails, process mail, and manage front desk duties to maintain smooth office operations
  • Provide administrative support to the accounting department to facilitate accurate financial processes
  • Monitor and check new tenders and ITQs daily on government e-business portals such as GeBIZ, Ariba, and Sesami
  • Process purchase orders received through e-business portals and record order bookings in Tally software
  • Maintain and update databases to ensure records are accurate and current
  • Record, process, and file forms to support administrative and accounting workflows
  • Respond promptly and appropriately to vendor, client, and internal requests to maintain effective communication
  • Coordinate administrative tasks with subtenants and liaise with JTC for operational matters
  • Communicate with suppliers and customers via email and phone to support procurement and service delivery
  • Manage incoming and outgoing couriers to ensure timely and secure delivery of documents and parcels
  • Perform other ad-hoc tasks and duties as assigned by the Head of Department to support team needs

Required competencies and certifications

  • Proficient in spoken and written English to communicate effectively with internal and external stakeholders
  • Proficient in Microsoft Office applications to complete administrative and reporting tasks
  • Minimum O levels qualification to meet basic educational requirements

Preferred competencies and qualifications

  • Good communication and interpersonal skills to collaborate effectively within the team and with external parties
  • Self-motivated with a professional attitude and high integrity to maintain workplace standards
  • Ability to work independently and as part of a team to adapt to a dynamic work environment
  • Experience in administrative or accounting support roles is preferred but motivated fresh candidates are welcome
  • Availability to start work on short notice is preferred
